Safety and Security Program Assistant

Description of Duties (As appropriate to work site and scope of services):


  • Tracks and documents annual site safety drills, safety and security site audits, and any other site safety items that require auditing and tracking to ensure site compliance with PPMM Safety and Security protocols. Data entry of completion into database (Smartsheet or other system).

  • Administers oversight of Safety and Security related contracts, tracks renewal, payment, etc.

  • Assists with updating and maintaining the PPMM Safety and Security Manual and other relevant safety procedures, protocols or documentation.

  • Oversee special projects related to the growth, development and daily business of the Safety, Security department as needed.

  • Offers administrative support to the Director of Safety and Security and General Counsel as needed.

  • Works with Director to develop, implement and support the PPMM volunteer escort program as needed, including tracking of volunteer escorts and archiving monthly escort logs.

  • Assist with scheduling Safety Committee meetings and taking notes as needed.

  • Works with Director to assist with documenting security incidents and reporting to PPFA as needed.

  • Maintains site improvement database to track PPMM site security upgrades.

  • Maintains and updates the information and resources on Safety and Security intranet page.

  • Assists with the PPMM Safety Zone monthly newsletter, as required.


  • Other duties as assigned.

  • Provides support as needed during elevated protest events/situations, assist with crisis situations when necessary.

  • Assisting Volunteer Services Department with volunteer escort scheduling as needed.


Able to perform the duties described above. A typical means of acquiring those abilities would be:

  • College course work or 1 year of work experience in an equivalent position.

  • Computer (PC) literate with experience in Microsoft Office applications.

  • Experience team-building and/or working in collaboration with diverse groups


Ability to work cooperatively and collaboratively in a team environment with staff and volunteers;

Effective oral and written communication skills;

Current experience using computer and mouse;

Experience using a Microsoft Windows based program and willing to learn new computer skills;

Ability to establish and maintain productive and cordial working relationships with diverse groups of people;

Well organized and dependable;

Ability to make choices and exhibit behavior that is consistent with PPMM policies in identified and/or unanticipated situations;

Ability to remain calm and function productively in stressful/crisis situations;

Ability to travel throughout affiliate as needed;

Strong customer service orientation;
